Up One Level File Number Form

Another way of organizing the people in your database is through the use of an object we call "File". The File object allows you to associate a number with any given person or group of persons. This is typically used when you need to be able to look up a person or group of persons by a number.

You may want to associate all members of a particular family with the same number. This would allow you to see family associations from one source and still keep separate records for each member of the family. Insurance companies typically associate family groups under one "certificate" number. The object File would be used in this case. Files can also be used to capture a medical insurance number.

When you add a new person in your database you decide whether or not to associate this person with an existing file number, generate a new file number or not use a file number. For instance you may only use file numbers when dealing with people who have the role of "client". People who have the role "staff" or "volunteer" don't necessarily need a number, you can look them up by name.

By definition - a file is a unique identifier and can also be used to identify individuals or groups.
