The object "Contact" is really the heart of the Danic Tools program. It is where you will record any and all activity. It is where all time is tracked for the various activities in which people, i.e.: staff, clients, contract workers and others engage. You can define "Contact Categories" and "Contact Types" within these categories. For instance you could categorize activity as direct versus indirect activity. You might then define counseling as a Contact Type and include it in the direct category. A "staff meeting" Contact Type might be included in the indirect category. The design of the "Contact" object is in keeping with our "do it once" philosophy, Contacts are defined as having two states: activity that has already happened (contact activity) and activity that has not yet happened (scheduled activity or an appointment). The basic contact information (i.e. date, time, duration, contact time, participants) is the same for both states and is entered only once. Once the appointment has passed, you simply change its state to Contact and record any progress notes arising out of the contact; there is no need to enter the contact information again. Danic Tools' billing and accounting functions only recognize activity in its Contact state. The Danic system distinguishes between hours delivered and hours received based on the roles of the participants. For instance, in a one-hour group therapy session, the staff member is credited for delivering one hour of service and is paid for that hour. At the same time, each of the clients is noted as having received one hour of service for tracking and billing purposes.
